Only Exolution administrators can load documents to Exolution. If you don’t see the Load Management option, that means you are not an administrator.
Exolution only takes zip files. If you have a bunch of loose Excel, CSV or PDF files then create a zip from them in order to load in Exolution.
Exolution copies the zip file to the Exolution server and processes the documents on the server. Once the documents are loaded, you can delete the zip file from the local user computer. Once the documents are on the server, they will remain there until explicitly deleted.
Click on the Load Management menu item in order to load the documents. It will open the Load Management window. Click on Create New button from the Actions menu.
This will display the following window. Provide a load name that can help you identify the purpose of the load. Select a zip file or point to a directory containing files.
If you choose Zip File option, Exolution will extract the content of zip file to load the documents. However, if you choose Folder option, the folder and sub-folders must contain uncompressed documents. If the folder contains zip files, they will not be extracted by Exolution, and the files will be marked as unsupported files.
The following describes the other options on the form.
Process Options:
- Process & Load: If checked, this will process the documents and load in Exolution to make them available to redact instantly. This should be checked unless you are planning to load a very large zip file and then run processing from the Exolution Server.
- Propagate Redactions: If checked, it will automatically propagate redactions from the previously loaded documents to the documents in the current load, if any duplicate files or sheets are found.
DocID Selection:
- File Name w/o Extension: This option will take the file name without extension as DocID. The DocID must be unique for each document. So, if you have a zip file with the files with same names across folders then Exolution will show an error message asking you to change the file name.
- Automatic: When this option is selected, Exolution will automatically assign the DocID as “DOC” + 8-digit ‘0’ padded sequential number. If the zip file contains files with the same name and this option is selected then Exolution will continue loading the document without an error because both the files with the same name will get a different DocID assigned automatically.
Once the documents are loaded, Exolution will make them available instantly. The users can enter the casebook, select a document option and start reviewing and redacting them.
